Philosophy Of Successful Time Management Or How To Start Working With LeaderTask?

Introduction. LeaderTask what is it?

Before you start using the LeaderTask organizer, you should learn about its features, i.e. find out what it can do and what it cannot do. First of all, LeaderTask is a personal organizer for everyday activities whose main features are:

* Task Scheduler (http://www.leadertask.com/content/view/49/53/)
* Calendar
* Personal Information Manager
* Contact Manager
* Project Manager

The organizer has a portable version, i.e. it is completely autonomous = mobile. LeaderTask depends neither on the computer, nor on Windows registry, it can easily exist on your flash drive and travel with you!

Getting started.

Important issues you should know about:

First - LeaderTask is a unique organizer. It is not an advertising slogan, it is a new concept for managing tasks, projects, time and human activities. You can see it for yourself. So what is unique about it? It is the following things: tasks have a set of parameters (tags) you can use to quickly get answers to your questions. For example, you can get the following to-do lists in one mouse click: "My today tasks", "IMPORTANT", "URGENT", "Monthly Sales", "Project XYZ in September", "Monitoring delegated tasks", "Bank", "To buy", "To read", "Meeting issues", "Overdue tasks", "Year goals"...

Second - LeaderTask is very flexible. Anyone can customize LeaderTask and implement his own usual methodology for managing his activities. It is also possible to successfully use David Allen's GTD (Getting Things Done) system in LeaderTask.

Third - it is possible to associate tasks in LeaderTask with any context you find suitable. Any thing can be used as context - place (home, office, bank, store...), contact (boss, subordinate, spouse...), category, project... Speaking the language of time management, any task can be associated with its kairos (context), i.e. the circumstances that suit the task best. For example, if you need to do it in a bank, it is better to add it to the "Bank" section, if another person should do some task in a project, it should be added to the corresponding project and assigned to this person, if a task is important, you should give it the corresponding priority, etc.

Entering initial data.

To start using LeaderTask, you should enter some minimum initial data without which it will be difficult to understand how LeaderTask works. For your convenience, you can use the predefined initial data you are offered in the Quick Start wizard when you start the program for the first time.

Contacts. Add your contact groups and the contacts you need. Make sure you add information about yourself - the very first contact (set the Favorite property)

Categories. Define the categories of your activities. To make planning convenient, create types of your professional activities, hobbies and also places you visit most often in the Categories section. Sample categories: "Calls", "Meetings", "Reading", "Watching", "Buying", "Thinking", "Family", "Rest", "Health", "Office","Bank", "Store". Set the Favorite property for the main categories.

Projects. Define the projects you work on. Do not mix up categories with projects and tasks. Remember that a project is what you can do. A project has time limits, and its aim is to produce something unique. It is convenient to divide projects into meaningful groups. Set the Favorite property for the main projects.

Calendar. Use the calendar to define periods of time that are most suitable for planning your time. For example: Today, Tomorrow, Current Week, Month, Year, 1st quarter 2007, 2nd quarter 2007... Also, set the Favorite property for the main periods.

The Favorite property makes the item to be shown in the drop-down menu on the Filter bar.

How it works.

The main areas in LeaderTask - Navigator, Filter bar and Task pane. The task pane (displayed as a calendar here) shows only those tasks that meet the filtering criteria. I.e. if you select "Project -YZ" in the filter, all tasks related to project XYZ will be displayed. You can filter tasks by projects, contacts, categories, date. There can be several filtering parameters at a time, but there can be none at all, i.e. no filtering (all tasks present in the LeaderTask database will shown in this case). For your convenience, you can save a set of filtering parameters as a ready-made filter. You can make such a filter favorite and enable it from the quick menu.

When you select a filter, tasks with the necessary parameters are shown. For example, when you select the "Mine for today" filter, your tasks for the current day will be shown. The "Site activities in November" filter will show tasks related to the "Site" project for "November". The filter "Monitoring delegated tasks" will show all tasks related to other people (contacts) you delegated tasks to. Filters in Leadertask actually make its use much easier. You can use them to instantly get answers to the following questions: "What is the most important thing at the moment?", "Where am I supposed to be tomorrow?", "What has been done since 15-21 in the -YZ project", "What tasks are the most urgent ones?"

Tasks can be displayed both in the calendar grid (fir. 1) and in the task tree (fig. 2).

Filtering work in the same way both for the calendar and for the task tree. In different situations it can be convenient to view sets of tasks both in the calendar (visually arranged in time) and in the task tree (you can see their order and how tasks are split into smaller ones).

Adding tasks.

Adding tasks is designed in such a way that it is as easy and quick to add tasks as possible. You can do it quickly due to hotkeys and minimizing manual input. When you add a task, its parameters are specified automatically - project, contact, date, category. This data is copied from the filter. I.e. if "Project XYZ" is selected together with the "URGENT" category and you add a new task, it will be added to "Project XYZ" and it will be urgent. Another important issue: this task will also be visible when only "Project XYZ" or only "URGENT" is selected. How to add tasks. You can always open Leadertask using the Alt+Ctrl+A key combination no matter what application you are working with at the moment. For example: you are tying some text in the editor and suddenly remember about an important thing that should be added at once. What you should do: press Alt+Ctrl+A, press Insert, type the text of the task, press Enter, press Alt+Ctrl+A again and that is all, the task has been adde!
d. And note that everything is done without using the mouse. Another way with the help of the mouse: right-click the LeaderTask icon and select the necessary filter, then press Insert and do what you did in the first case.

Task priority.

Priority allows you to highlight the importance of each task and each priority can have its own representation.

Priorities make up a strict sequence, i.e. the order where each priority is higher or lower than another. Every user can define his own set of priorities, their order and how they are displayed. The standard classic set is:

* High (red font)
* Regular (block font)
* Low (gray font)

Summary.

Time management in LeaderTask is arranged somewhat differently than, for example, in Outlook. That is why when those who use old organizers start using it, they have a lot of how-to questions. In order to master the new methodology of LeaderTask, you should at least read this guide. It will be much easier for those users who have never used software for organizing their activities before.

After you understand the philosophy of LeaderTask, it will be very easy and pleasant to work with it - a lot of feedback from users proves it.

Along with the above basic features, Leadertask has other features as well: storing any information (text, images, files), arranging bookmarks, task reminders, storing passwords.

Wikipedia is the center of the online encyclopedia universe. Millions of entries on every conceivable topic makes this website an authority source that many young students and adults turn to from all corners of the globe.

The widespread popularity of Wikipedia has made it an easy target for quite a bit of controversy and critique. Many academic institutions disapprove of any use of unverified Internet sources, including Wikipedia articles. Ironically, Wikipedia prides itself on the idea that its information is verifiable. Wikipedia Basics

Founded in 2001, Wikipedia is a free content resource that anyone can submit information to according to certain submission rules. Articles are written and submitted by anyone interested in the topic being discussed.

Authenticity is supposedly ensured by the ability of others to edit previously submitted information and correct any errors. Grossly inappropriate or incorrect articles can be nominated for deletion. Wikipedia users are given a week to vote on the appropriate response to a deletion nomination.

These safeguards have been built into Wikipedia's design as a way of preserving both its credibility and authenticity. While Wikipedia's systems of checks and balances are not failsafe, they do eliminate quite a few of the errors that would otherwise occur.

The fact that the website's content is made up exclusively by donated content and that it has over 2 million topic articles is a testament to the popularity of this style. While there are no basic rules for submitting articles, there are basic guidelines that Wikipedia asks submitting authors to follow.

Maintaining a neutral tone and presenting the information in a fair unbiased way are the perfect tones that dictate encyclopedia articles. Authors and editors are expected to be respectful of the work of others and not to modify anything without a good reason or verifiable references.

Controversy

Academic institutions and authority reference sources such as encyclopedia companies have been less impressed with Wikipedia than the general public. There are many reasons for the less than enthusiastic response from institutions of higher learning and professional reference companies.

The publishers of Encyclopedia Britannica became enraged when a study claimed that the accuracy of Wikipedia was comparable to the accuracy of Britannica's long-standing published encyclopedia. They widely disputed the results, insisting that their publication is by far the more superior publication.

Public opinion sides with Britannica. The majority of most people, when polled, have great faith in the reputation of Britannica and hold it in much higher regard than its online counterparts.

The convenience of the Internet encyclopedia version is where a lot of its competition with Britannica arises. Being able to access any information with the click of a mouse brings research to a whole new level.

Wikipedia and Academics

Studies are regularly inconsistent on the accuracy of Wikipedia. There is a wide range in the quality and accuracy of the Wiki articles online.

Articles are constantly being modified and improved upon. When doing research, it is very important to double-check all information. Wikipedia is a great resource, but it should never be trusted as the final word on any topic.

Members of academia are prone to carry negative feelings towards to the use of Wikipedia. Most become agitated when their students source Wikipedia, because they feel their students are not able to tell the difference between a good resource and a bad one – a truthful fact or an erroneous statement.

A commonly held belief is that a student lacks the common sense or ability to differentiate between a good article and a biased, inadequate presentation of a story as fact. Academia also points to the general lack of solid research supporting most Wikipedia articles.

Lazy Research

There is no excuse for laziness, but the blame for it is often placed on the presence of technology instead of where it actually belongs – on the people who rely on technology to provide them the shortcuts they take.

The modern age is one of advanced technology and many students are more than willing to take advantage of the ease of relying on computers and minimal online research.

The primary function of schools is to teach children. Not only are they responsible for teaching them facts, but also for teaching them how to think and solve problems for themselves. When students are no longer able, or willing, to logically decide something, academics are quick to blame the ease of access to technological advances, separating themselves from the blame.

Unfortunately, schools hold as much blame as the technology they bash, for the falling ability of students to produce results on their own. When I was in high school during the early 1980's, calculators were prohibited in all classes except for the advanced mathematics classes that required the use of scientific calculators. By the mid-1990's, the children of friends were telling me that they were required to bring a simple calculator to the classroom to assist them in their basic math calculations.

Academia is generally as responsible for the falling academic performance of students as website sources such as Wikipedia. Although academia shares in the blame for falling academic performance with poor resources like Wikipedia, this shared blame should not excuse Wikipedia's less than ideal service record.

One Thousand Monkeys Typing The Next Great Novel

Wikipedia and all of its sister projects are not perfect. They are websites dedicated to providing knowledge to everyone. Those willing to share what they have learned donate to this knowledge base in hopes of helping others. At least, that is what they do in theory.

The Wikipedia frontier has real possibility for the future, but behind the scenes, it is rife with "monkeys learning to type the next great novel," as sourced in the Infinite Monkey Theorem at (http://en.wikipedia.org/wiki/Infinite_monkey_theorem). There are some areas of the Wikipedia that are definitely lacking in information and credibility, and yet when someone makes a gesture to add to the Wiki knowledge base, some editors frame these new contributions as unsupportable and unacceptable additions to the Wikipedia world.

The Wikipedia Monkey Brigade

One extreme example of the "Wikipedia Monkey Brigade" is the story of how Danny Sullivan noticed the attempt by some editor to delete the Matt Cutts chapter in the encyclopedia.

For those involved in the study of search engines, Danny Sullivan is one of the most recognized experts in the field of search engines, and has been since 1997. As the founder of Search Engine Watch, and now the editor-in-chief of Search Engine Land, Danny even has his own page in the Wikipedia world: http://en.wikipedia.org/wiki/Danny_Sullivan_%28technologist%29

It seems some Wikipedia editor decided that Matt Cutts was not notable enough for his own chapter in the Wikipedia. For those of us who work in the search engine optimization community, such a suggestion is absolutely obscene. As a quality control engineer for Google and the voice of Google's spam detection department, people in the search industry pay close attention to what Cutts says about the future of search placement within Google.

Sullivan suggested that the attempt to delete the Matt Cutts page was at the very least an example of how "inept" the Wikipedia editors have shown themselves to be. You can read Sullivan's heartfelt argument here: http://searchengineland.com/070108-170335.php

Almost as interesting as Sullivan's blog post about the suggestion to delete the Matt Cutts page from the Wikipedia, was the page where people argued the decision about whether the page was worthy of deletion. Those supporting the deletion of the page were quick to point out the Wikipedia guidelines on Notability at: (http://en.wikipedia.org/wiki/WP:BIO) Strangely, I had read the guidelines myself and I felt that Matt Cutts was a slam-dunk for inclusion.

The Good Faith Argument

Much to my own surprise, the fellow who originally suggested that the Matt Cutts page should have been deleted got into the fray that resulted from his action. He even made reference to having read Sullivan's comments and chose to use them as a springboard to belittle Sullivan:

"The sources provided by Sullivan in his blog are interesting and some would even make great additions to a number of AfD-submitted articles to help fulfill notability (it's a shame he spent the time to make personal commentary about me on his blog than to improve these poorly drafted articles, but to each his own)."

For a guy who quotes the Wikipedia guidelines about "assuming good faith" (http://en.wikipedia.org/wiki/WP:AGF) as frequently as he does, I think his own comments about Sullivan betray his double standards about "good faith".

It is true that one would not expect anyone who studied Bioinformatics (http://en.wikipedia.org/wiki/Bioinformatics) in college to understand who the players are in the search industry, but then one would also not expect a person who knew nothing about an industry to judge who is notable in that industry either. It would be like me assuming to be able to identify notable people in the bioinformatics field... Yep, that would be dishonest and silly.

Final Thoughts

The one thing that makes the world of Wikipedia both great and terrible is the same; it is the ability of people to make corrections to the Wikipedia encyclopedia when they see the need to do so. But, the truth is that any monkey with a keyboard and an Internet connection can create and edit documents in the Wikipedia community.

Even I am a Wikipedia editor... I may even be a monkey editor, but at the end of the day, I don't monkey around editing information about which I am clueless.

Mbps: A much larger unit of data, Mbps refers to the term Â'Megabits per secondÂ'. A Megabit is one million Â'bitsÂ'. This form of data transference is used by every internet connection above Dial-Up speed.

Types of Connection

Dial-Up: The most basic connection available, a Dial-Up connection uses the existing phone line in a business or household to transfer data at around 56Kbps. This is the slowest connection currently available in Australia and is in the process of steadily being outdated due to faster connections being more widely and readily accessible for a lower cost.

ISDN: Is anIntegrated Services Digital Network and is twice the speed (at 128Kbps) of Dial-up. It can be difficult to obtain due to its reliance on what is fast becoming outdated technology. ISDN was essentially the technological stepping stone between Dial-Up and ADSL.

ADSL: Stands forAsymmetric Digital Subscriber Line, also most commonly referred to when the term Â'broadbandÂ' is used, and is a one-way connection where the download speed is much faster than the upload speed. This is a common trap for the average consumer because the speed of the connection is always referenced in terms of the maximum download speed (i.e how fast a page loads up / time it takes to save a file), rather than the much slower upload speed (i.e how long it takes to send an email / send a file to another computer)

Cable: The fastest connection available for both business and residential use (Fibre Optic connections, which are the next level up, are currently exclusive to business due to the high cost of installing and maintaining). Cable internet uses a similar system of connections to most pay television providers. It is completely separate to the household phone line and connection speed is substantially faster for both uploads and downloads. However, speed can be compromised by the number of separate households located in close proximity that use the same cable as only one cable is generally provided for a whole neighborhood. Generally cable runs at around 1.5 – 6 Megabits of bandwidth which is substantially faster than ADSL.

Connection Plans and Common Traps

To maintain a steady and consistently fast connection you need to take care in the selection of your plan. Having selected the telecommunications company with which you wish to subscribe for the service you then need to select a plan based on the cost of installing and maintaining your connection, the type of connection you wish to have installed, the speed of the connection, the download limit, if any, and the consequences if that download limit is exceeded.

The download limit or Â'shapingÂ' of your plan dictates how much information you can access from the internet within a month before being subjected to either additional costs (which can be significant) or slower connections (usually Dial-up).

According to Miles Humphrys, IT Manager for Corporate Executive Offices, one of the largest international chains of serviced offices throughout the Asia Pacific Region, a common pitfall when deciding on your internet plan is, Â"not knowing what it is that you, or your business, wish to use the connection forÂ". According to Mr Humphrys, Â"Before connecting the business or user must first decide what their primary methods of usage will be. Will they be sending a substantial amount of emails? Downloading live videos or music? Or simply surfing for information? All these factors must be weighed up before signing up to a limited connection or one with a capped amount of usage. Nothing is more frustrating for a business, or home office, than being crippled by an incredibly slow connection because they have gone over their download limit during the day-to-day requirements of the business or user.Â"

If you are unsure of the amount of data which you are likely to download in a month make sure you select a plan that gives you sufficient download capacity to enable you to then monitor your usage without fear of exceeding your limit. Make sure that your plan is flexible enough to then change if your download requirements are either substantially less or more than you expected.

Â"The one piece of advice that I would give for anyone looking to connect to the internet either now or in the future, above all, is to - read the fine print! The things to look out for are capped plans, download limits, shaping and especially Â'extra chargesÂ'. If you see anything that looks a little odd, always ask questions or consult an IT ProfessionalÂ", concluded Mr Humphrys.

Spyware is more than just annoying - it can cause other programs to not work properly and can cause your computer to become quite unstable. Not to mention the privacy issues it brings up.

Spyware is often installed without your knowledge or consent and in many cases can't be removed from your computer without specialized software tools. When the people that distribute it need to resort to tricking you into installing it, there's obviously very little there to warrant your trust.

The first line of defense against spyware is to be careful installing software. Know what's being downloaded. A large percentage of freeware or shareware programs have spyware embedded in them. Sometimes that's disclosed in the user agreement, but often not.

Check for "spyware free" guarantees on software you download. Obviously, anyone can say something is spyware free even when it isn't, but if a website has gone to the trouble to say so, it is more likely to be safe than if they hadn't.

How can you tell if you have spyware on your system? You may see pop-up advertisements even when you aren't browsing the web. Your homepage may have been changed without your consent. New toolbars are installed on your web browser which you didn't request. Your computer may be sluggish or mysteriously reboot on its own. Though, the last effect is usually a virus.

If you do get infected with spyware, there are ways to get rid of it. A number of companies make software designed to get rid of it. These programs will scan your computer and check through their database of known spyware for any matches. These databases get updated frequently as new forms of spyware are found.

Some of these programs are free while others will cost. The paid versions sometimes have additional features, such as automatic scheduled scans. None of them are 100% foolproof however, so it's a good idea to run more than one of them.

Some kinds of spyware are notoriously difficult to get rid of. They may make changes to your Windows files that help them hide from the scanners. On occasion, you may need to delete them manually to be sure they're gone.

Obviously, this is something that you should only attempt if you are quite knowledgeable. You wouldn't want to remove something that is critical for your computer to operate.

Once the spyware has been removed from your system, you should run scans on a regular basis to keep it clean. Whether you do this manually or use a program that does it automatically on a schedule is up to you (and your pocketbook).

And, of course, beware those tempting looking free offers. You may get more than you bargained for.
